Project Coordinator

The Project Coordinator supports healthcare construction projects from planning through closeout by managing documentation, coordination, and communication across the project team.

Working closely with Project Managers, Construction Managers, and Project Executives, this role helps keep projects organised, compliant, and moving efficiently while upholding client and company standards. This position plays a key role in maintaining project information, tracking deliverables, and facilitating clear communication across multidisciplinary healthcare teams.

Key Responsibilities
Project & Document Coordination
  • Support healthcare projects across all phases, including planning, design, construction, and closeout.
  • Manage document control, including drawings, specifications, change orders, and correspondence.
  • Maintain accurate project records using industry-standard tools and systems.


Team & Stakeholder Support
  • Coordinate meetings, prepare agendas, record minutes, and track action items.
  • Support procurement and contracting processes, including bid tracking and documentation.
  • Facilitate communication between internal teams, consultants, contractors, and clients.


Compliance & Closeout
  • Assist with quality, safety, and healthcare compliance documentation (HCAI/OSHPD, CMS, TJC, NFPA).
  • Support project closeout activities, including O&M manuals, as-builts, warranties, and final deliverables.
  • Uphold company standards for professionalism, accuracy, and responsiveness.
Qualifications & Experience
  • 2–5 years of experience in project coordination or administrative support within construction or engineering (healthcare preferred).
  • Strong organisational and time-management skills with the ability to manage multiple priorities.
  • Familiarity with project management and document control tools (Autodesk, Bluebeam, Primavera, MS Project).
  • Basic understanding of construction processes and documentation.
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Clear written and verbal communication skills with strong attention to detail.
  • Collaborative, team-oriented mindset and commitment to quality and client service.
Preferred Qualifications
  • Experience supporting healthcare construction or facilities projects.
  • Familiarity with healthcare regulations and infection control requirements.
  • Exposure to budgeting, scheduling, or estimating tools.
  • Interest in career progression toward Project Engineer or Assistant Project Manager roles.
